Operations & Logistics Officer
Scope of Work
Primary Function: Responsible for organization and management of all the operations and logistics related tasks for the effective development, coordination and implementation of all program events (meetings, conferences, workshops) and activities such as institutional assessments, regional and international travel to support the Africa Lead Project. At start-up and close-down, helps coordinate office set up as well as movement of personnel, office supplies & furnishings, equipment for build- up and/or close down in office space in collaboration with the West Africa Regional team.
Duties and Responsibilities:
· Overall responsible for office administration and operations;
· Oversees and manages the logistics related to all meetings, trainings, workshops, conference, events which includes identifying & securing venue, lodging, meals, local transportation and protocol for participants and/or international guest as well as organizing translation & interpretation services;
· Organizes and tracks all logistics related to trainers and/or consultants movements including schedules, accommodation and transportation arrangements, and resource materials;
· Responsible for overseeing making of travel arrangements for participants, consultants and staff including arranging flights, travel insurance, visa, per diems, airport pick-ups and drop off in a timely fashion in coordination with the Finance unit;
· Provides information and data to Finance Team for preparation of per diems and travel advances for project staff and cash and check requirements to assist in developing activity budgets for workshops and events;
· Oversees and provides assistance in the procurement of training resource materials such as manuals, bags, pens, notebooks, banners, giveaways in coordination with the Activity Coordinator;
· Oversees and responsible for helping to prepare bid-matrixes and purchase requisitions for all training and event related activities;
· Coordinates with the Program Manager to ensure the proper dissemination and collection of data forms such as attendance sheets and evaluation forms. Prepares a final summary report of all trainings and assessments of logistic arrangements for reporting purposes and planning;
· Assist with M&E, development of success stories and monthly and quarterly reports
· Develop a gender integration strategy for the program;
· Assist with HR management duties for country office
· Perform other administrative and logistical support tasks as needed.
Minimum Qualifications/Experience:
· A bachelor’s degree in business administration or related field Master’s degree preferred
· At least five years of related work experience in management, administration and logistics
· At least 3years experience in meeting and event planning
· Familiarity and experience with managing Donor funded participant training, and demonstrated knowledge of USAID rules and regulations required
· French and English written and oral fluency required
· Regional & international travel experience preferred
· Outstanding verbal, written, multi-tasking and interpersonal skills required
· DRC citizen- local hire
